Download your eBay transaction report: step by step

eBay has several reports. You get the transaction report in Seller Hub Pro under Payments, Reports; it lists payments, fees and payouts as a CSV. The order list for your taxes comes from the Reports tab. Both paths and the snags are below.

In brief

  • Transaction report: payments, fees and payouts as CSV, found under Payments, Reports.
  • Orders report: the order list, found in the Reports tab, source "Orders", 1 to 90 days.
  • Period: download the transaction report every quarter, because according to eBay the data goes back only 90 days.

Which eBay reports are there?

ReportWhereWhat it holdsFormat
Transaction reportPayments, ReportsAccount movements: order number, amounts, fees, payoutsCSV
Orders reportReports tab, Download, source "Orders"Orders, for example "All orders"CSV
Payout (settlement) reportPayments, Reports, Settlement reportsMonthly overview of account movementsPDF

The transaction report shows where the money went. The invoice is the document for your fees. The orders report gives you the sales.

Where do I click for the transaction report?

This is the path eBay gives for Seller Hub Pro (menu names as they appear in the German interface):

  1. Go to the tab "Zahlungen" (Payments).
  2. In the left menu choose "Berichte" (Reports).
  3. Choose "Transaktionsbericht" (Transaction report) in the Download section.
  4. Under "Typ" choose the transaction type, and under "Start" and "Ende" the period.
  5. Choose "Bericht erstellen" (Create report).

eBay sends an email when the report is ready. Menu names can change; the help inside your own account applies.

How do I download the order list?

eBay names a different path for the order list:

  1. In Seller Hub Pro go to the Reports tab ("Berichte").
  2. On the left choose "Herunterladen" (Download), then "Bericht herunterladen".
  3. Under "Quelle" (source) choose "Bestellungen" (Orders) and under "Typ" for example "Alle Bestellungen" (All orders).
  4. Choose the period, between 1 and 90 days.
  5. Choose "Herunterladen".

In the Reports tab you can also schedule recurring reports: hourly, daily, weekly or monthly.

What can go wrong?

The 90-day window. eBay recommends downloading the transaction report every quarter because the data goes back only 90 days. If you download once a year, you can have gaps. The orders report also allows at most 90 days per report.

Time zones. Times in the transaction report can differ from the times in your records because of different time zones. That causes differences to other reports.

Payout date versus order date. The transaction report holds the transaction date and the payout date. An order from the end of a month can be paid out in another month. For VAT the supply counts, not the payout (section 13 (1) no. 1 a UStG), and under cash accounting the receipt of payment (letter b).

Several items in one order. For single purchases, the purchase and the listing are in one row. For multi purchases, the first row holds the purchase and the following rows the listing details.

Columns missing. You can customise the transaction report: "Spalteneinstellungen individuell anpassen", then pick transaction, payout, shipping, listing or buyer details and save. The change applies to all future reports.

What do I do with the files?

VAT comes from the sales: country, amount and tax rate of each order. See VAT for eBay sellers in Germany and eBay report CSV: VAT from the file. The columns of the transaction report are explained in eBay report columns explained for your taxes.
