Download your Etsy sales report (CSV) for taxes

On Etsy you get the figures for your taxes from two places. You download your orders as a CSV in Shop Manager under Settings, Options, tab "Download Data", for one month or for a whole year. You get the monthly statement of your Payment account, with fees and taxes, under Finances, Monthly statements. This page lists the steps and what the files mean for your VAT and your income-surplus statement (EÜR).

In brief

  • Orders: Shop Manager, Settings, Options, Download Data, Orders. Pick the CSV type, month and year; leave the month empty for the whole year.
  • Monthly statement: Shop Manager, Finances, Monthly statements. Etsy emails you when the CSV file is ready.
  • Quarter: Etsy offers month and year. For a quarter you download the three months one by one.
  • Fee invoice: Etsy provides downloadable VAT invoices to sellers in the EU (excluding Ireland), as a PDF.

Which Etsy files matter for taxes?

Monthly statement (CSV)Finances, Monthly statementsall activity in your Payment account for a month

How do I download orders and payments as CSV?

This is the path Etsy describes:

  1. Sign into Etsy.com and go to Shop Manager.
  2. Select Settings, then Options.
  3. Go to the Download Data tab.
  4. Go to Orders.
  5. Use the dropdown menus to select the CSV Type, Month and Year.
  6. Select Download CSV.

For a whole year, do not select a month. Menu names can change; the help in your own Etsy account is what counts.

How do I get a quarter or a year?

The year works in one go: pick the CSV type and the year, leave the month empty. A quarter is not an option, so you download the three months one by one and put them together in your spreadsheet. The same goes for the monthly statement, which Etsy creates per month:

  1. In Shop Manager, go to Finances.
  2. Choose Monthly statements.
  3. Select View all monthly statements.
  4. Choose the year and month.
  5. Select Generate CSV. You will receive an email when the file is ready.
  6. In the email, select Take me to download, then Download CSV.

What is in the files?

Orders. Etsy lists payment method, item price, item title and the SKU if you added one. Any further columns show in the header row of your file.

Monthly statement. According to Etsy it shows your full sales funds and the fees and taxes applied to your sales. In Etsy's steps for the deposit amount you sum the Fee and Tax amounts; sales that are not yet available for deposit show in the Info column.

Deposit and revenue are different numbers. The deposit is your available funds minus fees, refunds, taxes and other activity. The net profit in the activity summary is the sum of total sales, fees, marketing and shipping costs. So do not take your bank deposit as your revenue.

For the EÜR. Taxpayers who are not obliged to keep books and do not keep books can take as profit the surplus of business income over business expenses (section 4(3) sentence 1 EStG). Your income is in the order CSV, the fees are in the monthly statement. Which expenses you can claim is in EÜR business expenses: list.

Etsy fee invoices and input VAT

Etsy provides downloadable invoices to sellers in the EU (excluding Ireland). They appear on the first of each month for the previous month's statement and arrive as a PDF in English. You open them in your Payment account on a computer: pick the month, and the download link sits above the breakdown of your monthly activity.

What the invoice says depends on whether Etsy has your VAT ID. If you added it to your Etsy account, Etsy does not charge you VAT, and the invoice states that you were not charged. If the supplier is established in another EU country, you as a business owe the VAT on these fees yourself (section 13b(1) and (5) sentence 1 UStG): Reverse charge in Germany: section 13b UStG explained. If you have not submitted a VAT ID, the applicable VAT charges appear in the current balance of your Payment account. Whether you can deduct input VAT from it depends on that invoice and on your own tax status: Etsy sellers: taxes and VAT in Germany.

You keep invoices you receive for eight years (section 14b(1) UStG). File the PDFs together with the CSV files: How long to keep receipts.

Common mistakes

  • Downloading the yearly CSV with a month selected. You then get that month.
  • Taking "Currently for Sale Listings" for your sales. That file lists your listings.
  • Booking the deposit as revenue. It is reduced by fees, refunds and taxes.
  • Not saving the fee invoice. It sits in the Payment account as a monthly PDF.

How VAT GPT helps

VAT GPT is the tax software for Amazon and eBay sellers in Germany: your OSS return first, then every other tax you owe, calculated and filed in one place.

  1. You upload your Amazon and eBay CSV reports and your invoices.
  2. The AI reads amounts, countries and tax rates, and VAT GPT breaks the VAT down for Germany and the EU (OSS). You check and confirm.
  3. With VAT GPT Pro you send the VAT return through ELSTER and the OSS return to the BZSt. The EÜR, trade tax and income tax returns are made in the same account.
