Download the Kaufland booking report (transactions)

Kaufland calls the report for your account movements "Your Bookings", in the payment flow also the booking report. You find it in the Seller Portal under "Reports" (German: "Reporte"). You export your orders as a CSV file with the report "Your Sales". Kaufland makes the invoice for the previous month available on the 1st of each month. This page shows what the reports contain and how to use them for your VAT return and your OSS return.

In brief

  • Where: Seller Portal, the Reports menu item. Kaufland offers a variety of reports as downloads there.
  • Account movements: "Your Bookings" shows releases or cancellations of sales revenues and the monthly fees.
  • Orders: "Your Sales" exports orders as a .csv file, with the order status and shipping details.
  • Invoice: The invoice for the previous month is made available on the 1st of each month; invoices are in the Seller Portal under "Rechnungen" (invoices).

Which Kaufland reports matter for taxes?

A report named "transaction report" does not appear on the Seller University pages we opened for this article. For sales and fees these are the ones:

ReportWhat Kaufland says about it
Your Bookingsan overview of your available sales revenues; shows account movements such as releases or cancellations of sales revenues or monthly fees
Your Salesexport orders as a .csv file; besides the order status you get shipping details
Cancellationslists all cancellations with item name and manufacturer
Monthly invoicethe invoice for the previous month is made available on the 1st of each month

Where do I find the report, and how do I set the period?

You open the Reports menu item in the Seller Portal and pick the report. You generate the booking report there for a period: in Kaufland's guide to unpaid claims you select the period of the claim in question. How the period selection looks for "Your Sales" is not described on the public Kaufland pages; the form in your Seller Portal shows it. For a quarter you pick the first and last day of the quarter if the form allows a free period, otherwise you download month by month.

How do release, payout and invoice fit together?

Kaufland describes the flow like this:

  1. Kaufland calculates the commission on the sales price including shipping costs and adds it to the invoice.
  2. Kaufland releases your sales revenue 14 days after delivery (according to the tracking number), or 21 days after the order is marked as shipped if there is no tracking number. An open ticket interrupts the time until release.
  3. You start the transfer to your business account in the Seller Portal under Accounting ("Buchhaltung").
  4. The monthly basic fee is taken from your available balance on the last day of each calendar month. It is listed in the invoice for the month after next.

So the release date comes after the order date, often in the following month. You do not pick the date for VAT freely: if you calculate VAT on agreed consideration, the tax arises at the end of the return period in which you made the supply (section 13(1) no. 1(a) UStG). If you calculate it on consideration received (section 20 UStG), the return period in which you received the payment counts (section 13(1) no. 1(b) UStG): Cash vs accrual VAT in Germany: Ist and Soll.

What do the columns mean for the VAT return and the OSS?

For "Your Sales" Kaufland describes order status and shipping details, for "Your Bookings" the movements of sales revenues. That description names no columns for a tax amount or the destination country. Check the header row of your file for country and amount per order. If both are there, sort the orders by country: sales to Germany belong in the VAT return. Distance sales to private customers in other EU countries belong in the OSS return if you take part in the OSS and the place of supply is in the country of destination. It stays in Germany as long as you are established only in Germany, your distance sales and certain services to private customers in other EU countries did not exceed 10,000 euros in the previous year and do not exceed it in the current year, and you have not waived this threshold (section 3c(4) UStG); then these sales also belong in the VAT return: EU VAT OSS threshold of 10,000 euros: examples.

Who owes the VAT on the marketplace and what the operator's liability means is in Kaufland marketplace: VAT for sellers. The return itself: OSS return for online sellers.

Kaufland invoices and input VAT

Kaufland calculates the commission on the sales price including shipping costs. According to Kaufland, no sales tax is charged on the commission if you ship from abroad. Whether and how much VAT is on your invoices you see on the invoice itself; that decides what you can claim as input VAT. You find the invoices in the Seller Portal under "Rechnungen".

You keep invoices you receive for eight years (section 14b(1) UStG): How long to keep receipts.

Common mistakes

  • Assigning by release date under accrual VAT. The release comes 14 or 21 days after delivery or shipping; the period of the supply counts (section 13(1) no. 1(a) UStG).
  • Missing cancellations. "Your Bookings" and the report "Cancellations" show them.
  • Looking for the basic fee in the wrong month. It is listed in the invoice for the month after next.
  • Not filing the monthly invoice. Kaufland makes it available on the 1st of a month.

How VAT GPT helps

VAT GPT is the tax software for Amazon and eBay sellers in Germany: your OSS return first, then every other tax you owe, calculated and filed in one place.

  1. You upload your Amazon and eBay CSV reports and your invoices.
  2. The AI reads amounts, countries and tax rates, and VAT GPT breaks the VAT down for Germany and the EU (OSS). You check and confirm.
  3. With VAT GPT Pro you send the VAT return through ELSTER and the OSS return to the BZSt. The EÜR, trade tax and income tax returns are made in the same account.
